It has clear inputs and outputs. “Summarize this meeting transcript and extract action items” is automatable. “Make this feel better” is not. The clearer the input-output relationship, the more reliable the automation.

It’s time-consuming relative to complexity. Some tasks take 20 minutes but actually only require five minutes of real thinking, with the rest being formatting, copy-pasting, or moving data around. Those are gold.

Errors are recoverable. If a mistake in this process means losing a customer or sending wrong financial data, you need a human in the loop. If a mistake means you have to re-run a report, automation is fine.

The best automation candidates are boring, frequent, and low-stakes. That’s not a coincidence. Boring means predictable. Frequent means high ROI. Low-stakes means you can iterate without disaster.

Writing first drafts of things that follow a template: proposal emails, weekly updates, product descriptions for an existing catalog, follow-up messages after calls. You still review and edit, but you’re starting from something instead of a blank page. The time savings compound.

When someone fills out a form or sends an inquiry, you can automate the initial routing, scoring, and response. Not the relationship-building part. The intake part. Figure out what category this person falls into and what happens next.

Automating something you haven’t done manually first. If you haven’t run the process yourself enough to understand every edge case, you can’t automate it well. The automation will hit an edge case you didn’t anticipate and break. Build the manual version first, then automate the parts that are clearly repetitive.

Starting with customer-facing automations. These are high-visibility, which means failures are high-visibility too. Start with internal automations. You can iterate quietly without anyone noticing a rough edge.

Underestimating maintenance. Automations aren’t set-it-and-forget-it. APIs change. Data formats shift. Prompts that worked six months ago produce worse outputs as models update. Budget time for upkeep, or it’ll pile up.

Chasing tools instead of problems. “I want to use Make” or “I want to build an AI agent” is the wrong starting point. Start with the problem. Then find the simplest tool that solves it. I’ve seen founders spend weeks building something in n8n that could have been a 10-line Python script.

A quick real-world example

A good example is a weekly investor update: someone spends Monday pulling performance data from three platforms, formatting it into a consistent update, and sending it out.

The data sources all had APIs. The format of the update was consistent every week. There was no real judgment involved, just assembly and formatting.
